Medical Office Manager

We have an immediate opening in our Woodland Hills office for a skilled, happy, motivated, and determined professional to lead, manage, and grow the day-to-day operations of our front office in an efficient, professional, and cost-effective manner. Bachelor's Degree (Preferred)
High school diploma minimum requirement.
JOB DUTIES
Lead and manage all day-to-day operations of the practice.
Be accountable for financial growth of the practice.
Organize/confirm surgeon’s daily schedule/ agenda – minimize cancelations, maximize efficiency, taking advantage of open spaces on the schedule for all FOSI employees.
Handle all associated office duties, and be able to make decisions independently or in specific instances after consulting with the surgeon, if necessary.
Lead in producing an Employee Manual with the assistance of HR department and Dr. Senehi.
Coordinate all HR related office requirements with HR department.
Manage all FOSI employees as far as hours, routine daily tasks, performance review, days off, sick days, new employees’ interviews, application process, HR related issues, etc.
Being responsible for managing all aspects of office overhead and acquiring multiple quotes for products to ensure best possible price is obtained.
You will have direct communication with the surgeon concerning office overhead and strategies to reduce overhead on a monthly basis.
Organize and lead staff meetings ensuring peak performance of team.
Answer phone calls in a professional manner. Being the first point of contact with new patients and speak knowledgeably about potential treatment options and understand what it takes to convert a possible patient lead into a confirmed appointment. Being a sales leader is an ABSOLUTE REQUIREMENT.

Present, coordinate, and finalize surgical cases daily
Manage and complete routine tasks efficiently and timely.
Ensures office is presented professionally.
Communicate effectively and professionally with multiple dental/medical insurance companies regarding estimates and covered benefits.
Prepare invoices, organize and process bills due on a monthly or bi-weekly basis.
Collect outstanding payments and present daily sheet at the end of the day.
Working knowledge of WinOMS software is a plus (training will be provided).
Assist with marketing and building relationships with referring offices.
Is able to come in early or stay after hours, if necessary.
Will maintain a professional/ethical work environment.
Understand and abide by HIPPA regulations and maintain patient confidentiality.
Organize/review medical history, medical alerts, and consent forms.
Organize, scan, and transfer all paper documents to EMR.
Document detailed office notes when needed.
Review preoperative and post operative instructions, contact patients after completion of their surgical procedure and answer questions/review concerns.
Communicate with dental/medical offices to obtain medical clearances and/or other indicated records.
Be the major navigator of the new patient protocol as well as preparing and mailing reports of all consults/procedures.
EMR/Documents ready for all types of appointment prior to patient being seen.
Monitor staff and make sure all employees are performing effectively.
Manage office production and personnel.
Critical thinker, problem solver, ability to make sound judgment and proceed with correct decisions independently.
Be able to handle the pressure from the work environment and act professionally at all times.
Possess excellent written and verbal communication skills.
Ability to take a strategy and "see" what is needed in terms of time, people, procedures, or resources, and can create a plan for how all these pieces will need to come together.
Capable of completing the credentialing process for major insurance companies.
Establish a relationship with multiple healthcare facilities to expand the list of referrals.
Be experienced in working with hospital staff in organizing cases to be performed at the hospital or surgery center as well as collecting payments for the cases performed at the hospital.
Knowledgeable in accounts receivables and proficient in collecting outstanding balances.
